This Privacy Policy describes how Arilyst Connect Limited, a company registered in Mauritius, collects, uses, and protects information in relation to the mobile application EDLP Sample Tracker (“the App”).
The App is strictly for internal use by authorized staff members and is not available for public use.
2. Scope of the Application
Sample Tracker is a mobile application used for internal sample dispatch and return management by authorized staff of Arilyst Connect Limited.
User accounts are created and managed exclusively through the company’s backend systems. The App does not provide public account registration.
3. Information We Process
Although the App does not allow users to register or submit personal data directly, it processes limited staff-related information necessary for operational purposes.
3.1 Staff Information
The App displays and processes the following information for authenticated staff users:
Full name
Work email address
This information is provisioned from the company’s backend system.
3.2 Authentication Data
To securely access the App, users authenticate using:
Email and password
JWT-based API authentication
Login timestamps are recorded for security and auditing purposes.
3.3 Operational Activity Data
The App records activity logs related to:
Sample dispatch actions
Sample return actions
Associated timestamps
These logs are maintained for operational tracking and audit purposes.
3.4 Camera Access
The App requires access to the device camera for:
QR code or barcode scanning related to dispatch and return processes
The App does not store photos or video recordings.
3.5 Digital Signatures
The App captures digital signatures for delivery documentation purposes.
Signatures are not stored as standalone image files.
Signatures are embedded directly into PDF delivery notes.
The PDF document is attached to the corresponding dispatch record in the backend system.
4. Local Device Storage
The App temporarily stores cached data on the device for performance purposes, including:
Project information
Customer information
This cached data:
Is valid for a limited period
Is automatically refreshed when an internet connection is available
Is cleared and updated upon synchronization
No sensitive personal data is permanently stored on the device.
5. Data Storage and Security
All operational and user-related data is securely stored on cloud infrastructure hosted by Microsoft Azure.
Appropriate technical and organizational measures are implemented to protect data against unauthorized access, alteration, disclosure, or destruction.
6. Data Sharing
Arilyst Connect Limited:
Does not sell user data
Does not share data with third parties
Does not use analytics services within the App
Data is used strictly for internal operational purposes.
7. Data Retention
User-related and operational data, including activity logs and dispatch records, are retained for business continuity, compliance, and audit purposes.
Currently, data is retained indefinitely unless otherwise required by law or internal company policy.
8. User Rights
As the App is strictly for internal organizational use:
Staff users cannot request independent data deletion through the App.
Account management is handled exclusively by the company’s administrative backend systems.
9. Distribution
The App is distributed privately via:
Google Play (Private Distribution)
Apple App Store (Private Distribution)
It is accessible only to authorized staff members.
10. Changes to This Privacy Policy
Arilyst Connect Limited reserves the right to update this Privacy Policy at any time. Updates will be communicated through appropriate internal channels where necessary.
